DJEP Outgoing Mail Server Tips for Workspace and Gmail Users

The first part is for Google Workspace Admins only, if you are setting up your G-Mail, please skip to that section

Google Workspace Admin Settings

1. Login into your Google Workspace Admin Panel. You can do this by going to https://admin.google.com 


You can also access your Admin Panel when logged in to your Google Workspace Admin Gmail Inbox, to do so, click the gear icon in the upper right and select 'Manage this domain" 

2.  In the left menu, click on Security -> Authentication -> 2-step verification

Make sure the box next to ‘Allow users to turn on 2-step verification’ is checked, if it is not checked, check it and Save.   Make sure that ‘Enforcement’ is ‘Off’.



3. This next setting is being phased out by Google, however if it is available in your account you will need to enable.  In the left menu, under Security -> Access and data control -> Less Secure Apps


Check that the radio button next to ‘Allow users to manage their access to less secure apps’ is selected; if it is not, select it and then Save to update your settings.


If you do not see Less secure apps under Access and data controls in the left menu, you can ignore this step.  

 

This is all that needs to be done in your Google Workspace Admin Panel - to setup your App Specific Password follow the instructions below.


Google Workspace and Gmail Users - App Specific Password Setup        

1.Log into your Google Account - You can get there by going directly to https://myaccount.google.com/

     Or, if already logged into Google, click your profile image in the upper right corner and select ‘Manage Your Google Account’

2. Once logged into your Google account, select ‘Security’ from the left menu. 

3.Under ‘Signing in to Google’ is 2-Step Verification, if it is off, click on it. If it is already turned On, skip to step 12.

4.A new window will open with information on what 2-Step Verification is, click ‘Get Started’

5.Next, Google will ask you to re-enter your password.

6.On the next screen, Google will ask you to use your phone as your second sign-in step.  If you do not see your device listed, it means you do not already have your Google account connected to your phone, so click ‘Don’t see your device?’ to add it. 

     Alternatively, if you wish to not use your phone as your second sign-in step, click ‘Choose another option’.

7.Click ‘TRY IT NOW’ - this will send a Google prompt to your device, open that prompt and tap ‘Yes’

8.Google will now ask you to add a backup option in the event you lose your device, choose your backup option either Text Message or Phone Call and enter the phone number and click ‘Send’

9.Google will now send or call that phone number with a security code, enter it and click ‘Next’

10.On the next screen click ‘Turn On’ 

11.2-Step Verification is now turned onclick on the back arrow next to 2-Step Verification to go back to the Security tab. 

12.Under Signing in to Google, click on 2-Step Verification.



13.Google will ask you to re-enter your password

Scroll down to the bottom of the page, if you have previously created an App Password, you should see App Passwords, if so, click on the > to manage your App Passwords.

If you do not see App Passwords at the bottom of the 2-Step Verification page, please click this link or copy and paste into your browsers URL bar: https://myaccount.google.com/apppasswords

15.Give your app password a name, this is only so you will remember what you created the password for - so name it DJEP or DJ Event Planner.  Then click ‘Generate’

16.In the box that pops-up, highlight the password and copy it; you may wish to paste this into a text document - IF YOU CLOSE THE WINDOW BEFORE COPYING YOUR PASSWORD YOU WILL NOT BE ABLE TO RETRIEVE IT AND WILL NEED TO GENERATE A NEW PASSWORD.  



17.Next, we need to setup our outgoing server settings in DJEP with that copied password.  Log into DJ Event Planner -> Setup -> Email -> Settings -> Select User -> Outgoing Server -> Setup/Edit

Your username is your full email address.
Password:  Paste the password you just copied
Outgoing server: smtp.gmail.com 
Port: 465

IMPORTANT - If you need to change your password for Google at any time, it will delete ALL App Specific Passwords in your account for security reasons.  If you need to change your Google Password, you will need to create a new App Specific Password; follow the steps above to create and update in DJEP.



IMAP - Incoming Email Server Settings

You can use the same App Specific Password to setup your incoming server as well.


  1. To setup your incoming server: Log into DJ Event Planner -> Setup -> Email -> Settings -> Select User -> Outgoing Server -> Setup/Edit

Your username is your full email address.

Password:  Same password you used for outgoing

IMAP server: imap.gmail.com

Port: 993 


Ensure POP and IMAP forwarding is enabled - log into your G-Mail account, click the gear icon in the upper right, and select settings.  In the top links you will see 'Forwarding and POP/IMAP'.  Select that, and make sure POP and IMAP are enabled and click Save.
